Benefits of using Virtual-e-Yours™
As a business owner or solo entrepreneur, you most likely wear many hats to maintain the success of your business. Effectively managing your stress and taking time for yourself is important to avoid burn out and ultimately avoid the failure of your business. Overworking, isolation and poor time management all contribute to high levels of stress.
Especially in today’s economy, many business owners are choosing to do all of the work themselves rather than opting to hire onsite staff. An alternative to hiring additional staff is to outsource the extra work to a virtual specialist. Hiring a virtual specialist can be one of the best decisions you could make to maintain the success of your business. A virtual specialist is an independent contractor who is dedicated to helping businesses succeed by providing the same service required from onsite support staff – except a virtual specialist works from a remote office and uses his or own equipment and software.
Virtual specialists are experienced professionals who have decided to work for themselves. Often times, Virtual specialists have worked not only in administrative roles but in marketing, Information Technology (IT), real estate and consulting, depending on their credentials and past experience. Using communication technology such as the internet, phone and email to remain in contact, a virtual specialist essentially works as a business partner who can be available as often or as little as required, saving you money and valuable time.
Deciding to hire a virtual specialist can save you not only money but resources often associated with hiring onsite staff including: taxes, holiday pay, benefits, equipment and office space.
Communication
People who work nontraditional hours may find it cumbersome or impossible to work effectively with on-site specialists. That's one of the best reasons to seek out Virtual-e-Yours™, someone who doesn't depend on your simultaneous presence to get the job done.
It’s true some clients' and a virtual specialist's schedules simply are not a good fit either. But don't assume that until you've discussed these things with Virtual-e-Yours™. Be up front about personal best and worst contact times. If you never work on Mondays or wouldn't think of picking up your phone before 11am, say so. If your lunch hour is sacred time that should be disturbed only in the direst of emergencies, make that clear. Virtual-e-Yours™ understands these things.
Be clear about personal best and worst contact methods also.
Most people communicate better one way than another. With phone, text messaging, fax, email, IM, and even Webcam at our fingertips, there's a medium out there to fit just about any preference. Be sure to bring up your preferences during the screening process, and ask the candidate's preferences as well.
Sometimes a bad fit is obvious. If you're an auditory thinker and travel a lot, your virtual specialist should be someone able and willing to take your odd-timed cell calls. On the other hand, if you like to think through your words long and hard before sharing them, an email-inclined specialist is your best bet. Virtual specialists or clients with stutters, foreign accents, hearing impairments, or other minor communication difficulties might benefit from IM rather than phone for real-time discussion. Client and virtual specialists don't necessarily have to agree on which method is best, but they do need to be aware of each other's preferences and under what circumstances it’s best to break from the norm.
Have a continuous communication plan.
Even clients and virtual specialists with the most unpredictable work hours, who perform the most independent of tasks, should make a point of being in contact. Contact need not be daily or even weekly, but it should be dependable. Set aside a few moments each month to address progress on existing assignments, procedural details, questions, and new technologies affecting your work. Regardless the arbitrary nature of their schedules, every well-paired virtual specialist and client should be willing to pre-schedule a single real-time meeting once a month, or at the very least, have a plan in place for how to keep each other updated if regular meetings cannot happen.
Respect the advantages and limitations of each other's time zones.
A virtual specialist in an opposing time zone is a great option if you like to send assignments at the end of your day and find them completed when you start your next day. But that difference is a potential liability for tasks that need immediate attention when your midday is your specialist's midnight. If you regularly need both overnight and immediate assistance, consider dividing your tasks between two virtual specialists in different time zones. Many virtual specialists pride themselves on flexibility and will go out of their way to serve clients whose work they love to do--even if it means the hours are a little odd. When in doubt whether what you have in mind will work, simply ask. Many times, if a virtual specialist can't provide the specific assistance you need, he or she will be able to recommend another specialist that can. But it all has to start with clear communication of needs.
